Parts, inventory and purchasing

Know what you've got, where it is, what it cost and what you need to order, without a separate inventory spreadsheet that's always a week out of date.

Parts & inventory: Raw stock, purchased and fabricated parts with on-hand, allocated, available and reorder points.

What it does

Parts & inventory, in plain terms

A costed stock ledger

Every receipt, pull, adjustment and count is recorded with its cost, so stock value and job cost come from the same numbers.

Stock by location

Track what's on which shelf, bin or location, and count it when you need to.

Reorder points and "What do we need?"

Set reorder points and get one list of what's low and what open jobs are waiting on.

Purchase orders and receiving

Raise purchase orders to suppliers and receive against them, in full or as it shows up.

Supplier price lists

Keep supplier prices in the system so ordering and quoting use current costs.

Drop ship

Have the supplier ship straight to the customer when that makes more sense than handling the part twice.

How it fits the flow

How it fits the flow

  1. Quote
  2. Check-in
  3. Job (this module)
  4. Fab (this module)
  5. Invoice
  6. Books

Where it sits in the flow

Parts are pulled against a job or consumed by a fab order, so the job knows what it used and what it cost. When stock runs low, or a job needs something you don’t have, it shows up on “What do we need?”, becomes a purchase order, and the job sits in waiting on parts until it’s received.

Because the ledger is costed, the invoice shows a real margin and QuickBooks gets inventory and cost of goods that actually tie out.

Questions

Does inventory flow into QuickBooks?

Yes. ShopJig keeps a costed ledger and posts daily summary journal entries to QuickBooks Online, so inventory and cost of goods line up.

Can I import my existing parts?

Yes. Items can come in from QuickBooks, and catalog products from Shopify.

Do parts sold online come out of the same stock?

Yes. The shop and the online store sell from the same catalog and the same stock.
